What is General Availability
General Availability is an optional setting that allows you to create a single availability schedule that is applied across all moderated interview projects you create.
After you set your general availability:
- Participants can only book time slots configured in each moderated interview project's Availability tab that overlap with your general availability.
- You cannot disable or delete your general availability, but you can edit it at any time.
- Any updates you make to your general availability are automatically reflected across all moderated interview projects.
If you do not set a general availability, participants will see only the time slots configured within each moderated interview project's Availability tab.
How to set General Availability
You must connect a calendar before creating your general availability, if you have not connected a calendar you will be asked to connect one before creating your general availability.
- Go to Settings.
- Under Personal Settings, click Availability.
If you have not connected a calendar
- Select your calendar provider
- Follow the prompts to authorize access to your calendar.
- Click the “Create availability” button
If you have connected a calendar
- Click the “Create availability” button
After clicking on the "Create availability" button, a modal appears where you can configure the time slots during which you are available each day.
- You can set one or more time slots for each day:
- The start time indicates that you are available for meetings at or after that time.
- While the end time indicates that all booked meetings must end before that time.
For example, if you want to prevent calls from being scheduled between 11:00 and 14:00 on Mondays, create two time slots for Monday: 09:00–11:00 and 14:00–17:00.
-
You can leave a day without any time slots if you are unavailable on that day.
For example, if you do not want calls scheduled on Saturdays or Sundays, remove all time slots for those days.
Click Save availability. Your General Availability is saved and automatically applied to all moderated interview projects.
How to edit General Availability
You can edit your general availability at any time:
- Go to your “Settings”
- Click “Availability” under “Personal Settings”
- Click the “Edit availability” button
Any participants booking after the moment you saved the edits will see the updated booking page. While any previously made bookings will not be affected.
Can I disable General Availability?
No. Once you enable General Availability, it cannot be disabled or deleted. However, you can edit it at any time.
If you want to manage availability separately for each moderated interview project, set your General Availability to cover the entire day (00:00–23:45) for each day that you are available.
When your General Availability covers the full day, all time slots configured in a moderated interview project's Availability tab will overlap with it. As a result, participants will see exactly the time slots you configure within each project's Availability tab.
Examples
Imagine that something happens and you would like to exclude Tuesday from all moderated interview sessions, you just delete all time slots applied to Tuesday from your general availability. Any participants booking after the moment you made this change will not be able to book a time slot for Tuesday.
Imagine that you would like to make sure there are no calls scheduled between 11:00 and 14:00 on Mondays. You should set in your general availability two time slots for Monday, one from 09:00 - 11:00 and one from 14:00 - 1700.
Imagine that you have set up your General Availability for all weekdays (Monday to Friday) between 09:00 to 17:00. Then when setting up a moderated interview study, you set Time slots for:
- next Monday between 09:00 and 20:00, participants will see time slots for next Monday that begin at or after 09:00 and finish before 17:00 as your general availability limits bookings that end after 17:00
- next Sunday between 09:00 and 20:00, participants will see no time slots as your general availability is set only for weekdays and not the weekend
- next Monday between 09:00 and 13:00 and between 14:00 and 19:00. Participants will see time slots that begin at or after 09:00 and finish before 13:00 and time slots that begin at or after 14:00 and finish before 17:00 as your general availability limits bookings that end after 17:00
Imagine that you have not set up your General Availability. When setting up a moderated interview study, you set time slots for:
- next Monday between 09:00 and 20:00. Participants will only see time slots for next Monday that begin at or after 09:00 and finish before 20:00
- next Sunday between 10:00 and 15:00, participants will see time slots for Sunday that begin at or after 10:00 and finish before 15:00.
